Registration
1. Registration forms must be received by SIGNIS before September 1st, 2013.
2. End of early bird registration is June 1st, 2013.
3. Registration takes place only through our online registration form except for people from Lebanon and other countries from the Middle East.
4. Registration takes place in 3 steps: registration, payment and registration to the workshops and working sessions. Registrations are confirmed only when payment is received. Once the programme of the Congress is available, participants whose registration has been confirmed will be contacted by email to proceed with the registration to workshops and working sessions.
5. Space constraints may limit the number of Congress participants. SIGNIS reserves the right to refuse registrations.
6. Submission of the registration form and/or payment of the registration fee will be deemed to be acceptance of the terms, conditions and other information specified in this document.
Payments
7. Full payment must be received by SIGNIS by September 1st, 2013. If full payment is not received by that date, registration will be cancelled.
8. Payment of registration fees is in euros.
Members and Delegates of SIGNIS
9. SIGNIS members and Delegates can pay by credit card or by bank transfer through the secured online payment page on the SIGNIS website (powered by Ogone), by cheque or cash. In case of payment by bank transfer or cheque, SIGNIS will charge an extra 15 EUR over registration fee to cover bank charges.
Non members of SIGNIS
10. Payments should be made by credit card or by bank transfer through the secured online payment page on the SIGNIS website (powered by Ogone). In case of payment by bank transfer, SIGNIS will charge an extra 15 EUR over registration fee to cover bank charges.
Cancellation
11. Participants who cancel their registration before September 1st, 2013 will receive a refund of their registration fee, less 100 EUR for administrative costs.
12. Applications for refunds received by SIGNIS after September 1st, 2013 will not be considered (due to financial commitments that must be made at that time).
Registration fee
13. Registration fee normally includes accommodation at the Hotel Le Royal – Beirut. Participants choosing not to stay at the Congress hotel will have to pay the registration costs (see prices below) + 50 € to cover meals.
14. Participants choosing not to stay at the Congress hotel agree that SIGNIS is not responsible and cannot help them for their accommodation and transport during participation to the Congress.
Delegates of SIGNIS
15. Registration fee for Delegates of SIGNIS covers registration to the Congress and Assembly of Delegates and includes accommodation (7 nights, 20-25 October), meals, participation to all Congress activities (including cultural visit), transport for Congress activities and transport from the airport to the hotel.
16. Delegates can choose to share a room to reduce cost. Shared rooms (double or triple) are subject to availability.

Congress + Assembly registration fee for members of SIGNIS covers registration to the Congress and Assembly of Delegates and includes accommodation (7 nights, 20-25 October), meals, participation to all Congress activities (including cultural visit), transport for Congress activities and transport from the airport to the hotel.
20. Members of SIGNIS benefit from a reduced registration fee. They can also choose to share a room to further reduce cost. Shared rooms (double or triple) are subject to availability.

Travel
25. Participants are required to make their own travel arrangements to Beirut. SIGNIS is unable to provide assistance with travel bookings or with arranging non-Congress activities.
26. SIGNIS will arrange ground transport between Beirut International Airport and the Congress hotel, provided SIGNIS is notified of a participant’s arrival and departure times and airline flight numbers at least two weeks in advance of the arrival date
(use our contact form).
27. SIGNIS will arrange ground transport for day trips or other activities organized in the framework of the Congress.
28. Travel arrangements for non-Congress activities will be the responsibility of participants.
Visas
29. Participants are responsible for securing any visa required for entry to Lebanon, or required in transit, and for making any other arrangements, such as immunisations, that may be required. For more information on these matters, please visit our General info page.
30. It is strongly recommended that participants determine visa requirements at an early stage and apply for a visa well in advance of proposed travel dates.
31. Participants whose registration has been confirmed before 15 June 2013 can benefit from special assistance to obtain a visa. A visa application form will be sent to them. The application form with the relevant information should be sent to the SIGNIS General Secretariat before 15 June 2013.
32. Participants whose registration has been confirmed after 15 June 2013 can obtain a letter of invitation to support an application for a visa from SIGNIS. They should therefore send an email through our contact form with the following information: Name and last name (as indicated on passport), passport number, passport issue and expiry date and country.
Liabilities
33. Neither SIGNIS nor any of its officers, directors, members or employees shall have any liability for property damage, loss, or health problem that may be suffered by a Congress participant or any accompanying person, including any damage or loss resulting from the negligence of SIGNIS or its servants or agents.
34. SIGNIS reserves the right to cancel or limit Congress, or any part thereof, and neither SIGNIS nor its officers, directors, members or employees shall have any liability or responsibility for any loss or inconvenience caused to any person who
has registered for Congress or to any other person.
35. All participants are strongly advised to ensure that they have adequate health and travel insurance.
36. All participants are required to notify to SIGNIS a change in their email address. SIGNIS is not responsible for the loss of information that will result from such a change.
Other information
37. Information submitted on the registration form and otherwise in conjunction with Congress will be stored by SIGNIS in one or more databases owned and controlled by SIGNIS. The information contained in these databases will not be made public.
38. All participants and accompanying persons to the Congress authorize SIGNIS and its partners to make use of their image for any photo or video produced by SIGNIS at the Congress. The images will not be used for commercial purposes but rather for information purposes or to promote the Congress or any other activity of SIGNIS or its partners.
